Additional Archiving Services

Ardington Archives LLP provides additional archiving services to assist in all aspects of document management

As an independent, private business specialising in the professional management of Business Storage, Ardington Archives LLP offers a range of additional archiving services to provide a complete document management solution.  Our expertise has been built on over 20 years’ experience, and is beneficial to new and existing clients who require a quick and efficient storage solution.  Our additional services include:

Cataloguing for our Archiving Services

We recommend you create your own catalogue for box contents prior to sending them to us for storage, but understand that it’s not always possible.  We do offer a cataloguing service whereby we can create a bespoke catalogue of your deposited boxes or files, providing an overview of the records stored with us.  The information contained in this catalogue is determined by our customer and can be provided in electronic format.  Furthermore, we can offer your staff training on how to use it.  We can keep a copy of your master archive document here, free of charge, for your future referral.

Clearance of files & documents

In order to expedite the storage process, and to alleviate the workload on our clients, Ardington Archives LLP offers a clearance service whereby we will come to your place of business and collect your documents, put them in our archive storage boxes, and transfer them to our secure storage facility.  Such records are often stored out of sight in basements, cellars or lofts, which are difficult areas for your staff to get to during regular working hours.  Unfortunately, such locations are often dangerous environments for paper records – damp, mildew, heat, and even rodents – all these can have a detrimental effect on the integrity of the paper and even cause health and safety violations as well as being a potential fire risk.

Having Ardington Archives LLP come in and clear these documents allows you to comply with health and safety standards, reduce business risk, and recover valuable space that can be better used within the business.

Upon receipt of the documents, we can provide a Cataloguing service, which gives you an overview of the records stored with us. We provide an end-to-end achiving service solution.

Re-boxing for archiving

Upon receipt of poor quality boxes – damaged, torn, missing lids – Ardington Archives LLP can re-box the contents into our bespoke designed archive storage boxes. By doing so we ensure the continued integrity and quality of the paper documents in our care.  We will transfer any relevant barcode references and existing catalogue contents as required.

There are several benefits of storing files in an archiving facility, including:

  • Space savings: Archiving facilities provide a secure off-site location to store rarely used files, freeing up valuable office space.
  • Improved organisation: Files can be sorted and stored in an organised and systematic manner, making it easier to find what you need when you need it.
  • Protection from damage: Our Premium storage environments are temperature-controlled and equipped with fire suppression systems to protect the stored files from damage and ensure their long-term integrity.
  • Data backup: Archived files can serve as a backup in case of a disaster, such as fire, flood, or loss of digital access, ensuring continued access to the original copies.
  • Cost savings: Off-site storage of archives can be more cost-effective than maintaining an in-house storage solution, especially for large organisations with a lot of files.

At Ardington Archives LLP we ensure the safe and secure storage of all your files.

We offer unique, customised document scanning and storage solutions.

We work closely with our clients to ensure we deliver a scanning and storage solution to fit their needs. Have a look at some of our other services.

Ardington Archives LLP currently has a total document storage capacity of over 100,000 boxes across three archive stores, together with our in-house argonite pods and secure vaults. Our facilities are modern and purpose-built for storage. In addition, we have the option to expand our secure archive environments to increase total capacity.

At Ardington Archives LLP we understand that fast and efficient document retrieval is vital for the management of any business.  Document retrieval can be requested via phone, email or through our secure online portal service, and if requested by 12 noon, will be returned the next working day, anywhere in the UK.  Requested documents are returned either physically or via electronic format, with both options ensuring a secure and confidential delivery.

At Ardington Archives LLP, we provide a comprehensive range of document scanning and digital conversion services using state-of-the-art equipment. We can advise on the best mix of scanning and hardcopy storage to meet your specific needs.

As part of our document storage service, Ardington Archives LLP works with clients to determine destruction dates for archived documents and files.  Confidential destruction is carried out by twice shredding the documents, before they are pulped and recycled into toilet tissue.  We additionally offer destruction of associated media such as PC hard drives, meeting BSI standards in both Environmental and Information Management.

Ardington Archives LLP has a range of custom designed storage boxes made from high content recycled board.  Designed with a double thickness skin to ensure strength, rigidity and a longer life than most other storage boxes, all Ardington Archives LLP boxes are PH neutral to maintain the quality and integrity of the documents stored inside, meeting BS 4971 standards.  All boxes are supplied flatpacked for ease of storage and transportation.

In our rapidly-evolving digital era, preserving our cultural and personal heritage has taken a revolutionary turn through heritage scanning. This transformative process involves digitising redords, documents and images, extending their life without causing any damage to the original items.
